Position Overview
Under direct supervision of the CFO/VP of Administration, the Office Manager provides administrative support for all major responsibilities of CFO, including finance/accounting, human resources, technology, facilities and travel. This is an exciting opportunity for administration professional interested in joining a fast-paced international office environment in a demanding but rewarding role. The candidate must have the ability to manage competing priorities, effectively work with others on projects with tight schedules and interface within tasks with volunteers.
Human Resources (20%)
- Tracks vacation, sick and personal time for all employees
- Assists with recruiting efforts, which may include posting jobs, collecting resumes and processing background checks
- Processes health, dental and life benefit paperwork such as enrollment, changes & terminations
- Serves as office point of contact to both benefits companies and staff regarding general benefits inquiries and information
- Assists with scheduling and maintaining of performance reviews for staff
- Schedules new hire orientations for new staff & orients new employees to office, including office equipment, security procedures, phone and printer codes, etc.
Accounting & Finance (25%)
- Responsible for accounts payable and accounts receivable function for organization
- Maintains proper file and records, determining new systems as needed
- Performs reconciliation of bank statements
- Processes and reconciles check requests and expense reports for all Staff
- Supports payroll, international wire transfers and other transactions
- Supports full organization’s tax preparation, filing and reporting
Technology (10%)
- Tracks staff requests for IT repairs, maintenance and equipment orders
- Serves as point of contact IT consultant/staff to coordinate work flow and schedule
- Maintains inventory of office equipment
- Serves as the point of contact for any internet (Comcast) or other technology (printer, phone) issues that arise
Facilities & Office Management (15%)
- Manages the schedule and payment of office cleaning staff and other contractors
- Supports office security systems as needed
- Orders office supplies and manages staff requests and payments for new supplies
- Distributes mail and applies postage to outgoing mail
- Serves as back-up receptionist
- Maintains and purchases kitchen, bathroom, cleaning and other general supplies for office
Travel Management (30%)
- Serves as office liaison to travel agent and airlines
- Responsible for the oversight of booking and scheduling of all AMIGOS Volunteer and International Office staff flights
- Responsible for the oversight of booking and scheduling of hotel and other transport reservations for International Office Staff
In addition to the above, other tasks may be assigned.
Requirements
- Bilingual (English/Spanish) required
- High School diploma required; Associates degree in Accounting, Finance and Business Administration highly preferred
- 1-3 years in a similar role highly preferred
- Demonstrated general knowledge of accounting and finance, human resources, technology and facilities management
- Experience booking travel preferred
- Proficiency with Microsoft Office Suite and other basic software programs
- Knowledge of nonprofit accounting preferred; experience with Sage would be a PLUS
- Ability to work well with others in a busy office environment while juggling/managing multiple priorities and achieving results
- Comfortable being in an “assistant” role and in a position that interacts with and responds to requests from staff at all levels, including staff in Latin America
