Inclement Weather Policy
PURPOSE
The purpose of this policy is to provide clear protocols regarding the continuation/cancellation/rescheduling of AMIGOS Wisconsin activities in the event of inclement weather including, but not limited to snow, extreme cold, tornado, other severe weather.
WEATHER CONDITIONS
Snow
If the City of Madison buses are running, activities will continue as scheduled. Otherwise, the scheduled activity(s) will be postponed to a time and date to be determined later.
Extreme Cold
If the City of Madison buses are running, activities will continue as scheduled. Otherwise, the scheduled activity(s) will be postponed to a time and date to be determined later.
Tornado
Warning: the scheduled activity(s) will be postponed to a time and date to be determined later.
Watch: activities will continue as scheduled if occurring in a location offering appropriate indoor shelter. If not, the scheduled activity(s) will be postponed to a time and date to be determined later.
Severe Thunderstorm
Warning: the scheduled activity(s) will be postponed to a time and date to be determined later.
Watch: activities will continue as scheduled if occurring in a location offering appropriate indoor shelter. If not, the scheduled activity(s) will be postponed to a time and date to be determined later.
Extreme Heat
Activities will continue as scheduled if occurring in a location offering appropriate indoor shelter. If not, and if an alternate appropriate indoor location is not available, the scheduled activity(s) will be postponed to a time and date to be determined later.
WHO
Training Activities The decision shall be made and announced by the Training Director no later than 2 hours before the scheduled activity, except in the event of sudden change in conditions less then 2 hours before.
Other Activites
The decision shall be made and announced by the President no later than 2 hours before the scheduled activity, except in the event of sudden change in conditions less then 2 hours before. If the President is unable to do so, the decision shall be made and announced by the Vice President.
HOW
Announcement shall be by e-mail, unless the Training Director/President determines that circumstances warrant the use of other means.
RESPONSIBILITIES of Family/Volunteer
In the event of inclement weather conditions, each family must individually assess the situation and make a personal decision.
If a training event is not cancelled by the Training Director, and a family elects not to participate, the volunteer is responsible for notifying the Training Director no later than 1 hour before the event and for arranging a personal make-up activity with the Training Director. Her/his absence will not be exempt from the attendance policy unless determined otherwise by the Training Director and/or Board of Directors.
If a non-training event is not cancelled by the President, and a family elects not to participate, the family is responsible for notifying the Training Director no later than 1 hour before the event. The family is responsible for honoring any obligation held by the family for the event. The volunteer will not be exempt from the attendance policy unless determined otherwise by the Board of Directors.
If a specific training event is postponed by decision of the Training Director, an alternate date and place shall be scheduled as soon as possible, and the volunteer shall have the same responsibilites she/he had for the originally schedule event unless determined otherwise by the Training Director and/or Board of Directors
If a non-training activity is cancelled by decision of the President, the board shall determine if an alternate date and place is necessary or feasible, and if so, an alternate date and place shall be scheduled as soon as possible. If so, the family-volunteer will have the same responsibilities as for the original event unless determined otherwise by the Board of Directors.
